What this template measures

The eleven KPIs in this template describe one cycle rather than one department. Registered / Actively looking counts the demand waiting at the front. Property Viewings counts the effort spent converting it. Average property letting time and Reletting time measure how long that conversion takes, and Actively let properties is what you are left with when it works. Read in that order they behave like a funnel, so a soft month in applicant registrations shows up in occupancy weeks later rather than on the same chart.

The rest of the set exists to explain the cycle when it stalls. Reported Defects, Early termination, Rent Arrear Evictions and Seeking Possesion Served are the failure modes, each small on its own and costly in combination. Average tenure of property says whether a let was worth the cost of arranging it. Property manager properties sits slightly apart: it is a capacity reading, and it tends to explain the other numbers rather than be explained by them.

These came from lettings professionals as a base set, not a finished strategy. Import all eleven, run them for a quarter, then drop the ones nobody brings up in a review. That is the intended use.

Who uses it

Negotiators and branch managers live in the top half of the set. Their question is what is sticking and why, which means Property Viewings and Average property letting time on the same view. Setting targets

Import the template without targets first. Enter two or three months of history, see where each KPI actually sits, then set a target one step better than that. Letting markets move with season, town and price point far too much for a generic figure to mean anything, and a target you miss from the start gets ignored soon after.

Direction beats absolutes across most of this set. Reletting time and Average property letting time want to fall. Average tenure of property and Registered / Actively looking want to rise. Rent Arrear Evictions and Seeking Possesion Served want to sit near zero, where any movement is worth a conversation rather than a threshold. Common mistakes to avoid

  • Merging Average property letting time and Reletting time into one number. A new instruction and a void re-let behave differently, and averaging them hides the more expensive of the two.

  • Treating Property manager properties as a goal to push up. It is a capacity reading. Raising it deliberately turns up later in defects and arrears.
  • Importing all eleven and reviewing none. A KPI nobody discusses monthly is data entry with extra steps.
